Expected participants

  • - Registered participants for the WORLD PM2024 YOKOHAMA Congress & Exhibition *A registration fee is required to participate in the Congress.
  • - Visitors only to WORLD PM2024 YOKOHAMA Exhibition *Access to the exhibition area is free of charge with “On-site Exhibition Registration”.
    “Invitation tickets” will be given to the exhibitors for distribution in advance to their customers.

Exhibition Fee

  • JPY400,000 / 1 booth = 9 sq.m. (3m x 3m) JPMA/JSPM Members
  • JPY450,000 / 1 booth = 9 sq.m. (3m x 3m) Non-Members

  • *Exhibitors who apply for more than 2 booths can choose to have the booths without any of the equipment mentioned above. Even in this case, however, there will be no discount of the exhibition fee.
  • - Exhibitor’s outline will be included in “EXHIBITION GUIDE (WORLD PM2024 Guide)” to be distributed during the Congress (October 2024).
  • - Exhibitor Badge (Exhibitors will receive the required number of badges.) *Exhibitor Badges will only be valid for access to the exhibition area.
    Congress Registration is required if you wish to attend the Congress program.

Terms and conditions

Floor plan

The floor plan (booth allocation map) will be decided by the Organizers based on the discussion after the deadline.

Prohibited transfer of booths

The exhibitor shall not lend out, sell, exchange, or transfer the usage rights of its own booth without the permission of the WORLD PM2024 organizer and secretariat.

Joint exhibition

If two or more applicants exhibit jointly, one of them must submit an application as their representative and notify the WORLD PM2024 secretariat of the company names, etc., of the joint exhibitor(s).

Exhibit set-up and removal

The carrying-in and setting up of exhibits at the venue must be done during the period specified in the exhibitor Manual announced by secretariat at a later date.
Removal of booth displays and decorations must be completed by 19:00, 16 October, 2024; if not, the organizer will arrange for their removal at the exhibitor’s expense.

Use of the exhibition hall

Publicity and sales activities are limited to within the exhibition booths. Exhibitors are responsible for preventing the crowding of aisles near their booths owing to advertising. Exhibitors agree not to decorate or use their booth in a manner interfering with neighboring booths. Should complaints be received from neighboring booths and the organizer judges that revisions are necessary from an operational standpoint, the exhibitor at fault shall agree to alter its booth or activities.
No portion of the decorations can extend beyond the assigned floor area. If the organizer finds any problem with the sound, method of control, materials, or other aspects of exhibits, it has the right to restrict the display of such items. If the organizer deems that any exhibits contradict the purpose of the fair, the organizer reserves the right to prohibit the showing of or to remove said items. This right extends to persons, items, acts, printed matter, and anything else considered problematic. In the event of exercising this right of removal, the organizer shall not be held liable to reimburse the exhibitor in any way.

Exhibition management and waiving of responsibility

The organizer will do its best to efficiently manage and secure the exhibition as a whole including items displayed by engaging security guards. However, the organizer shall not be held liable to compensate for losses and/or damages resulting from any cause whatsoever.

Copyright and Guaranty

(1) The exhibitor allow the organizer to publish on the official website and various printed materials, advertisements, e-mail magazines, media for the purpose of PR of the exhibition.

(2) Exhibitors shall guarantee the organizer that the exhibits, the related printed matters or other media do not infringe any third party's trademark rights, design rights, patent, utility model rights, copyrights, portrait rights or other intellectual property rights.

Permission to Use Rights of Portrait

Photographs of exhibition booths and exhibited products taken by the organizer's photographer at the exhibition venue may be used for the purpose of reporting on the organizer's activities (publication in the newsletter and on the official website) and for soliciting exhibitors and visitors for this and future exhibitions.

The photographs or information provided will not be used for any other purposes unless the usage is clearly made known and accepted by the provider.

Damage compensation

Exhibitors shall be responsible for all damages to the venue facilities, building, or injury to its personnel owing to negligence on the part of themselves or their agents, or for other reasons.

Exhibition cancellation

The organizer, based on its own judgment, may change the period of or cancel the exhibition if the land or structure used as the venue becomes inappropriate for use, or if the show is interrupted owing to a legitimate cause. In such cases, the organizer shall not be held liable for resultant damages, cost increases, or other disadvantageous matters.
In case the exhibition is canceled, the organizer will refund the balance, after deducting necessary expenses from the total exhibition fee.

Payment of exhibition fee

Exhibitors shall pay the exhibition fee based on the invoice issued by the WORLD PM2024 Secretariat by the date indicated on the invoice.
Payment from exhibitors shall be made by bank transfer in Japanese yen to the designated account indicated on the invoice. Promissory notes, checks will not be accepted.

Cancellation

In principle, applications cannot be cancelled after the Application Form is submitted. Only when the secretariat deems it unavoidable will cancellations be accepted, and in such cases the following penalties will be incurred based on the date written notice of cancellation is received.

Visa

Foreign exhibitors who need a visa must make arrangements on their own for obtaining a visa by preparing the required documents, including the invitation guaranty and a letter giving the reason for the invitation. Please note that, concerning preparation of such documents, the organizer will not issue any documents other than to confirm the exhibition of the company/ institution. The Organizer shall not be held liable to compensate for losses and/or damages in the event the exhibitor was not successful in acquiring a visa from the Embassy/Consulate of Japan.

Observance of regulatoins

The exhibitor hereby agrees to regard the regulations set by the Organizer as part of this contract and to abide by them.

Change or additoin of regulations

The exhibitor shall interpret all the regulations set by the Organizer as aiming to preserve the benefits of this exhibition and agrees to cooperate in executing said regulations. The Organizer reserves the right to make revision and/or supplement to this Terms and Conditions with the notification to the exhibitors in advance.
